1. Create PivotTables

PivotTables can help you summarise, analyse, explore, and present data. PivotCharts are visualisations of the data in a PivotTable. Their ability to help you see comparisons, patterns, and trends more easily helps users make informed choices through the organisation of critical data in your business. It allows users to connect to external data sources such as SQL Server tables, SQL Server Analysis Services cubes, XML files and Access databases to construct PivotTables, or make use of current PivotTables to set up new tables.

A PivotTable is a way to quickly understand large amounts of data. You can use a PivotTable to analyse different parts of data. A PivotTable is especially designed for:

  • Querying massive chunks of data in user-friendly ways
  • Expanding and collapsing levels of data to see the most useful information or areas of interest
  • Drilling down into details from summary data
  • Pivoting (changing rows and columns) to see different summaries of the source data
  • Filtering, sorting, grouping, and conditionally formatting the most useful subset of data so you can focus on what you want
  • Presenting concise, attractive, and annotated online or printed reports

2. Organise Data With Quick Analysis Tools

The Microsoft Quick Analysis tool is a versatile feature that allows you to quickly analyse your data. You can use it to calculate row and column totals, and apply conditional formatting. With it, you can also add tables, charts, and sparklines instantly. One unique feature of the tool is that it changes its tool suggestions based on the type of data you select. It also offers a quick preview of the tools you are going to use. There are options for 5 categories including Formatting, Charts, Totals, Tables, and Sparklines. You’ll be surprised to find that the Quick Analysis tool is not in the Excel ribbon menu. It’s actually a small icon that will show up whenever you select a range of data. You can also use the shortcut “Ctrl+Q” after selecting a data range to access it. It will analyse your data and make suggestions of which charts are suitable for the data you wish to present. Undoubtedly, this is the one of the most useful and automatic data analysis functionality in Excel. When you don’t know which chart you should use, you can take advantage of this option in Excel.
